Project Overview
Hi! I’m a solo entrepreneur running an online coaching business focused on productivity and mindset for creative professionals. Things are growing fast, and I need a reliable virtual assistant to help keep everything organized so I can focus on creating content and serving clients.
This role is a mix of personal and light business admin – think inbox management, scheduling, simple research, and occasional personal errands (like booking travel or ordering gifts). It’s perfect for someone organized, proactive, and looking for steady part-time work with a friendly boss who actually replies to messages.
You’ll be my right-hand person without the corporate nonsense – just real work that makes a difference.
Responsibilities
Manage my Gmail inbox (labeling, replying to simple messages using templates, flagging urgent ones)
Schedule appointments, calls, and podcast recordings across time zones (Google Calendar)
Do light online research (best tools, gifts, travel options, competitor info)
Handle basic Canva tasks (resizing images, simple social media graphics from templates)
Upload blog posts or newsletter content to WordPress/Mailchimp
Track expenses and organize receipts (Google Sheets)
Book travel, hotels, and restaurants when needed
Remind me of birthdays/anniversaries and order gifts
Manage my Asana or Trello boards (moving tasks, adding due dates)
Light customer support (replying to common questions via email or Instagram DMs)
Required Skills
Excellent written English
Comfortable with Google Workspace (Gmail, Calendar, Drive, Sheets)
Reliable internet and quiet workspace
Attention to detail and follow-through
Basic Canva knowledge
Ability to work independently
Nice to Have
Experience with Asana, Trello, or ClickUp
Familiarity with Mailchimp or ConvertKit
Previous VA or admin experience
Located in Philippines, Pakistan, India, LATAM, or Eastern Europe (time zone overlap with US mornings is a plus)
Basic video editing (CapCut or similar)
Interest in productivity/mindset content
Typical Weekly/Monthly Tasks
Estimated 10–15 hours per week (very flexible)
Peak weeks: 15–18 hrs (launch periods)
Quiet weeks: 8–10 hrs
Most tasks can be done in 2–4 hour blocks

Payment Structure
Basic Tier – $400/month (10 hrs/week avg, standard tasks)
Standard Tier – $500/month (12–15 hrs/week, includes Canva + research)
Premium Tier – $600/month (15+ hrs/week, includes customer support + launch help)
Paid monthly via Wise, PayPal, or Payoneer (your choice) on the 1st of each month.
Tools You’ll Use
Google Workspace, Canva, Asana/Trello, Slack, Loom, Mailchimp, WordPress (all simple, no coding)
Training Provided
Yes! 5–10 hours of paid onboarding + Loom video library + ongoing support. I’m patient and happy to explain things twice.
Realistic Expectations
This isn’t a “be available 24/7” job. I respect your time and life outside work. Mistakes happen – we fix them together. Quality and consistency matter way more than perfection.
