The project scope is quite broad, covering multiple types of documents across various departments within the company. Key Responsibilities

  • Format a wide range of documents, including reports, brochures, flyers, and internal communications, to ensure they are visually appealing, well-structured, and consistent with the company brand.
  • Collaborate with the content team to review, edit, and finalize document content for accuracy, clarity, and consistency.
  • Work closely with designers to integrate visual elements, such as images, charts, and diagrams, into documents, ensuring they are appropriately sized, placed, and formatted.
  • Develop and maintain templates for common document types to streamline the formatting process and ensure brand consistency across all materials.
  • Utilize document formatting software (e.g., Microsoft Word, Adobe InDesign) to create, edit, and finalize documents efficiently.
  • Implement and maintain a version control system for documents to track changes, updates, and approvals.
  • Communicate effectively with team members and stakeholders to understand project requirements, provide updates, and ensure that deadlines are met.
  • Manage multiple projects simultaneously, prioritizing tasks and allocating time efficiently to meet deadlines without compromising on quality.
  • Stay up-to-date with the latest trends, tools, and best practices in document formatting and content creation, recommending improvements to processes and workflows as necessary.
  • Maintain confidentiality and handle sensitive information with discretion, adhering to company policies on data protection and privacy.
  • Contribute to the development of style guides and formatting standards to enhance consistency across all company documents.
  • Participate in team meetings and brainstorming sessions to discuss project ideas, challenges, and solutions.
  • Provide training and support to other team members on document formatting best practices and software usage as needed.
  • Conduct quality control checks on documents prior to final approval and distribution to ensure they meet the company's quality standards.

Requirements

  • 2+ years of experience in document formatting, preferably in a fast-paced, dynamic environment.
  • Highly proficient in Microsoft Office, particularly Word, and familiar with Adobe Creative Cloud, especially InDesign.
  • Excellent understanding of document design principles, layout, and typography.
  • Strong attention to detail and ability to maintain high quality standards under tight deadlines.
  • Effective communication and interpersonal skills, with the ability to work collaboratively as part of a team.
  • Ability to prioritize tasks, manage time efficiently, and meet deadlines in a pressured environment.
  • Knowledge of data entry principles and practices, with the ability to perform data entry tasks as required.
  • Customer service skills, with experience in handling customer inquiries and resolving issues professionally and efficiently.
  • High school diploma or equivalent required; degree in Communications, Design, or a related field preferred.
  • Certifications in document formatting, design, or a related field are a plus.
  • Familiarity with project management tools and version control systems is beneficial.
