Key Responsibilities
- Maintain and organize digital and hard copy files, ensuring all documents are accurate, up-to-date, and easily accessible.
- Perform data entry tasks, ensuring accuracy and attention to detail.
- Develop and implement effective filing systems, both physical and digital, to improve document management and retrieval.
- Collaborate with the team to ensure all documents are properly labeled, categorized, and stored.
- Assist in the archiving of documents, ensuring compliance with company policies and regulatory requirements.
- Provide administrative support to the team, including preparing documents, reports, and presentations.
- Conduct regular audits to ensure data accuracy and compliance with company policies.
- Develop and maintain spreadsheets to track and analyze data, providing insights to the team.
- Work closely with the IT department to ensure all document management systems are up-to-date and functioning correctly.
- Provide training and support to new employees on document management procedures.
- Develop and implement process improvements to enhance document management efficiency.
- Maintain confidentiality and handle sensitive documents with discretion.
- Stay up-to-date with industry developments and best practices in document management.
- Collaborate with the team to develop and implement new document management initiatives.
Requirements
- 2+ years of experience in data management, document control, or a related field.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
- Experience with document management software and systems.
- Strong attention to detail and analytical skills, with the ability to identify and correct errors.
- Excellent communication and interpersonal skills, with the ability to work effectively with the team.
- Ability to maintain confidentiality and handle sensitive documents with discretion.
- Strong problem-solving skills, with the ability to think critically and outside the box.
- Ability to work in a fast-paced environment, with the ability to adapt to changing priorities and deadlines.
- Experience with data entry and data analysis, with the ability to develop and maintain spreadsheets.
- Ability to work independently, with minimal supervision, and as part of a team.
