Key Responsibilities
- Develop, implement, and maintain effective filing systems, ensuring all files are up-to-date and easily accessible.
- Conduct regular audits of physical and digital files to ensure compliance with company policies and regulatory requirements.
- Maintain accurate and detailed records of file locations and contents, utilizing databases and spreadsheets as necessary.
- Collaborate with team members across departments to ensure consistency in filing practices and to address any file-related queries or issues.
- Implement and enforce data protection and confidentiality procedures in accordance with company policies and legal requirements.
- Design and propose improvements to existing filing systems and document management processes.
- Provide training and support to staff on file management best practices and company filing protocols.
- Utilize software applications to manage and organize electronic documents, including the use of cloud storage solutions.
- Liaise with external parties, such as vendors and clients, regarding the exchange or retrieval of documents.
- Maintain a clean and organized workspace, adhering to health and safety standards.
- Contribute to the team's objectives by undertaking additional tasks and responsibilities as required.
- Stay up-to-date with changing regulations and best practices in document management, making recommendations for process improvements.
- Participate in the development of procedures to manage and reduce paper usage, promoting a more sustainable work environment.
- Develop and manage databases to track and store electronic documents, ensuring easy retrieval and minimal data loss.
Requirements
- Demonstrated experience in file management and organization, preferably in a professional services or consulting environment.
- Strong understanding of document management principles, including data protection and confidentiality laws.
- Excellent organizational and time management skills, with the ability to prioritize tasks and work under pressure.
- Proficiency in a range of software applications, including Microsoft Office, particularly Excel, and experience with document management systems.
- Attention to detail and ability to maintain high levels of accuracy in a fast-paced environment.
- Good communication and interpersonal skills, with the ability to work effectively with colleagues at all levels.
- Flexibility and adaptability, with a willingness to learn and implement new processes and technologies.
