Key Responsibilities
- Organize and maintain physical and digital files, ensuring they are up-to-date, accurate, and easily accessible.
- Develop and implement effective filing systems, adhering to company policies and regulatory requirements.
- Scan, index, and upload documents into our digital database, ensuring all files are properly labeled and categorized.
- Manage and maintain confidentiality of sensitive documents and information.
- Provide administrative support to the operations team, including preparing reports, handling mail, and performing other duties as required.
- Collaborate with colleagues to ensure seamless day-to-day activities and contribute to team projects as needed.
- Conduct regular audits to ensure data integrity and compliance with company policies and regulatory requirements.
- Develop and maintain spreadsheets to track file locations, update records, and perform data analysis as required.
- Maintain a clean and organized workspace, adhering to health and safety standards.
- Utilize software applications to manage and maintain digital files, including document management systems and cloud storage services.
- Stay up-to-date with changes in regulatory requirements and company policies, adapting filing systems as necessary.
- Assist in training new staff members on filing systems and procedures as needed.
- Coordinate with external parties, such as auditors or consultants, to ensure compliance and resolve any issues related to file management.
- Participate in continuous improvement initiatives, suggesting improvements to filing systems and procedures.
Requirements
- High school diploma or equivalent required; post-secondary education in business administration or a related field is an asset.
- Minimum 1 year of experience in a data management or administrative role, preferably in a business or consulting environment.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office, particularly Excel, and experience with document management systems.
- Strong attention to detail and ability to maintain confidentiality.
- Excellent communication and interpersonal skills, with the ability to work effectively in a team environment.
- Ability to adapt to changing priorities and deadlines in a fast-paced environment.
- Familiarity with data analysis and reporting principles.
- Basic knowledge of regulatory requirements related to data management and confidentiality.
- Certification in data management or a related field is an asset.
- Experience with cloud storage services and other digital filing systems.
