Key Responsibilities

  • Manage and respond to a high volume of emails from clients, ensuring timely and personalized support
  • Resolve client issues, address concerns, and provide solutions to problems in a professional and courteous manner
  • Collaborate with the customer service team to develop and implement effective email management strategies
  • Analyze email trends, identify areas for improvement, and recommend process enhancements
  • Develop and maintain a comprehensive knowledge base of frequently asked questions, product information, and company policies
  • Utilize email management software to track and manage emails, assign tasks, and monitor progress
  • Provide feedback and insights to the team on email management processes, suggesting improvements and optimizations
  • Maintain accurate records of client interactions, including email correspondence, issue resolutions, and follow-ups
  • Participate in training and development programs to enhance email management and customer support skills
  • Stay up-to-date with industry trends, best practices, and new technologies to continuously improve email management processes
  • Cultivate strong relationships with clients, ensuring exceptional customer experiences and fostering long-term loyalty
  • Escalate complex issues to senior team members or management as necessary, ensuring prompt resolution and minimal disruption to clients
  • Maintain confidentiality and handle sensitive information with discretion, adhering to company data protection policies

Requirements

  • 2+ years of experience in email management, customer support, or a related field, with a strong track record of delivering exceptional customer experiences
  • Proficiency in email management software, including email clients, helpdesk software, and CRM systems
  • Excellent communication and interpersonal skills, with the ability to effectively communicate with clients, team members, and management
  • Strong problem-solving and analytical skills, with the ability to resolve complex issues and provide creative solutions
  • Ability to work in a fast-paced environment, managing multiple priorities and deadlines with ease
  • Strong attention to detail, with a focus on accuracy and quality in all aspects of work
  • Ability to work collaboratively as part of a team, with a strong commitment to teamwork and cooperation
  • Familiarity with data entry principles, with the ability to accurately and efficiently enter data into various systems
  • High school diploma or equivalent required; degree in a related field (e.g., customer service, communications) an asset
  • Technical skills: proficiency in Microsoft Office, particularly Outlook and Excel, with the ability to learn new software and systems quickly
