Key Responsibilities

  • Develop and implement an efficient filing system, ensuring all physical and digital files are accurately labeled, categorized, and easily accessible.
  • Maintain and update files on a daily basis, ensuring data accuracy and integrity.
  • Conduct regular audits to ensure compliance with company policies and procedures.
  • Collaborate with colleagues to ensure smooth data transfer and minimize errors.
  • Provide exceptional customer service, responding to requests and queries in a timely and professional manner.
  • Utilize software applications to manage and organize files, including document management systems and spreadsheet software.
  • Develop and maintain a thorough understanding of company policies, procedures, and regulatory requirements.
  • Participate in ongoing training and professional development to stay up-to-date with industry trends and best practices.
  • Work closely with the management team to identify areas for improvement and implement process enhancements.
  • Ensure confidentiality and security of sensitive information, adhering to company protocols and data protection policies.
  • Perform data entry tasks, maintaining high levels of accuracy and attention to detail.
  • Assist with special projects and tasks as required, demonstrating flexibility and adaptability.
  • Maintain a clean and organized workspace, ensuring compliance with health and safety regulations.

Requirements

  • High school diploma or equivalent required; post-secondary education in a related field an asset.
  • 1-2 years of experience in a data management or administrative role, with a focus on file organization and maintenance.
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook.
  • Excellent organizational, analytical, and problem-solving skills, with attention to detail and ability to meet deadlines.
  • Strong communication and interpersonal skills, with ability to work effectively in a team environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Physical ability to lift, carry, and move files and equipment as required.
  • Familiarity with document management systems and software applications an asset.
  • Ability to work in a fast-paced environment, with flexibility to adapt to changing priorities and deadlines.
  • CERTIFICATION IN DATA ENTRY OR OFFICE ADMINISTRATION IS A PLUS
  • Demonstrated ability to learn quickly, take initiative, and work independently.
