Key Responsibilities

  • Develop and implement efficient filing systems, both digital and physical, to ensure seamless data retrieval and compliance with regulatory standards.
  • Maintain accurate and up-to-date records, including sensitive and confidential documents.
  • Provide administrative support to the operations team, including data entry, document scanning, and file management.
  • Collaborate with the operations team to implement process improvements and streamline filing processes.
  • Conduct regular audits to ensure data accuracy and compliance with regulatory standards.
  • Develop and maintain a thorough understanding of NovaTech's business operations and compliance requirements.
  • Provide training and support to employees on filing systems and procedures.
  • Ensure the security and integrity of sensitive and confidential documents.
  • Develop and maintain a comprehensive knowledge of data management software and tools.
  • Collaborate with the IT department to implement digital filing systems and ensure data integration.
  • Provide excellent customer service to internal stakeholders, including responding to requests and resolving issues in a timely and professional manner.
  • Maintain a clean and organized workspace, adhering to NovaTech's health and safety policies.
  • Participate in process improvement initiatives and contribute to the development of best practices.

Requirements

  • 2+ years of experience in data management, filing, or a related field.
  • Proven track record of developing and implementing efficient filing systems.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail, with a high level of accuracy and precision.
  • Proficiency in data management software and tools, including Microsoft Office and Google Suite.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively with internal stakeholders.
  • Strong problem-solving skills, with the ability to analyze issues and develop effective solutions.
  • Ability to maintain confidentiality and handle sensitive and confidential documents.
  • High school diploma or equivalent required; post-secondary education in a related field an asset.
  • Certification in data management or a related field an asset.
  • Experience working in a fast-paced environment, with the ability to adapt to changing priorities and deadlines.
