Key Responsibilities

  • Provide exceptional administrative support to senior management, ensuring timely and effective completion of tasks and projects.
  • Manage complex schedules, coordinate travel arrangements, and make reservations as required.
  • Develop and maintain accurate and up-to-date records and databases, ensuring data integrity and security.
  • Prepare and edit correspondence, reports, and presentations, ensuring high-quality content and presentation.
  • Handle sensitive information with discretion and maintain confidentiality at all times.
  • Develop and implement effective filing systems, both physical and digital, to ensure easy access to information.
  • Provide excellent customer service, responding to inquiries and resolving issues in a professional and courteous manner.
  • Collaborate with other departments to achieve company goals and objectives, fostering a culture of teamwork and cooperation.
  • Contribute to the development and implementation of administrative policies and procedures, ensuring compliance with company standards.
  • Stay up-to-date with changes in technology and administrative best practices, applying this knowledge to improve processes and procedures.
  • Prepare and manage budgets, ensuring effective use of resources and adherence to financial policies.
  • Develop and maintain relationships with external partners and stakeholders, ensuring effective communication and collaboration.

Requirements

  • High school diploma or equivalent required; post-secondary education in business administration or a related field an asset.
  • Minimum 2 years of experience in an administrative role, providing support to senior management or a team.
  • Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Excellent communication and interpersonal skills, with the ability to work effectively with people at all levels.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong problem-solving and analytical skills, with the ability to think critically and outside the box.
  • Experience with data entry and record-keeping, with high attention to detail and accuracy.
  • Ability to work in a fast-paced environment, with a strong sense of urgency and adaptability.
  • Knowledge of administrative policies and procedures, with the ability to apply this knowledge in a practical setting.
  • Experience with customer service, with the ability to provide exceptional support and resolve issues effectively.
