Key Responsibilities

  • Develop and implement effective filing systems, both physical and digital, to maintain accurate records and ensure seamless data access.
  • Maintain and update our company's databases, ensuring data accuracy and completeness.
  • Collaborate with the administrative team to identify areas for improvement and implement solutions to enhance our overall efficiency.
  • Ensure compliance with our company's data management policies and procedures, adhering to confidentiality and security standards.
  • Provide administrative support to our team, including preparing documents, reports, and presentations as required.
  • Conduct regular audits to ensure data integrity and accuracy, identifying and addressing any discrepancies or issues.
  • Develop and maintain effective relationships with colleagues, stakeholders, and external partners, providing exceptional customer service and support.
  • Stay up-to-date with industry trends and best practices in data management, implementing new techniques and technologies to enhance our filing systems.
  • Provide training and guidance to colleagues on our filing systems and data management procedures, ensuring a smooth transition and minimizing disruptions.
  • Identify opportunities for process improvements, developing and implementing solutions to enhance our overall efficiency and productivity.
  • Coordinate with our IT department to ensure our filing systems are aligned with our company's technology infrastructure and security protocols.
  • Develop and maintain detailed documentation of our filing systems, including procedures, guidelines, and training materials.
  • Participate in ongoing quality improvement initiatives, contributing to the development of our company's data management strategies and policies.
  • Collaborate with our team to develop and implement effective data retention and disposal policies, ensuring compliance with regulatory requirements.

Requirements

  • 2+ years of experience in data management, administration, or a related field, with a strong focus on organization and attention to detail.
  • Proven skills in data entry, records management, and administrative support, with the ability to work accurately and efficiently in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues, stakeholders, and external partners.
  • Strong analytical and problem-solving skills, with the ability to identify areas for improvement and implement effective solutions.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook, with the ability to learn new software and systems quickly.
