Key Responsibilities
- Provide administrative support to senior management team, including scheduling appointments, managing calendars, and making travel arrangements
- Coordinate meetings, events, and conferences, ensuring all logistical arrangements are in place and executed smoothly
- Develop and implement effective filing systems, both physical and digital, to ensure easy access to information and maintain data integrity
- Manage and maintain accurate records, including employee data, customer information, and financial reports
- Perform data entry tasks, ensuring accuracy and attention to detail, and maintain up-to-date records in our database
- Provide customer service support, responding to phone calls, emails, and queries in a professional and timely manner
- Collaborate with team members to achieve common goals, provide support, and share knowledge and expertise
- Develop and maintain relationships with stakeholders, including vendors, suppliers, and partners
- Participate in special projects and initiatives, as required, and contribute to the development of new processes and procedures
- Stay up-to-date with industry trends, best practices, and new technologies, and apply this knowledge to improve our admin processes and procedures
- Provide training and support to new team members, as needed, and contribute to the development of training programs and materials
- Develop and maintain a thorough understanding of our company's policies, procedures, and systems, and ensure compliance with all relevant regulations and laws
- Participate in regular team meetings, providing updates on progress, and contributing to discussions on key issues and challenges
- Prepare and distribute reports, documents, and other materials, as required, and ensure all information is accurate, complete, and up-to-date
Requirements
- Minimum 2 years of experience in an administrative support role, preferably in a fast-paced and dynamic environment
- Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- Excellent communication and interpersonal skills, with the ability to build strong relationships with team members and stakeholders
- Strong organizational and time management skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines
- Attention to detail, with a high level of accuracy and precision in all aspects of work
- Ability to work independently, as well as part of a team, and contribute to a positive and inclusive work environment
- Excellent problem-solving skills, with the ability to analyze problems, identify solutions, and implement effective resolutions
- Strong customer service skills, with the ability to respond to queries, resolve issues, and provide exceptional support to our customers
- Familiarity with data entry software and databases, with the ability to learn new systems and technologies quickly
- Ability to maintain confidentiality, handle sensitive information, and ensure data integrity
- High school diploma or equivalent required, with a degree in business administration or a related field preferred
