In this position, you will have the chance to work with a variety of files and documents, including client records, project plans, and company reports. Your ability to categorize, prioritize, and maintain these files in an orderly and secure manner will be essential to the success of our operations. We are looking for someone who is not only proficient in data management but also possesses excellent communication skills to collaborate effectively with our team.
Key Responsibilities
- Develop, implement, and maintain efficient digital and physical filing systems to ensure easy access to information.
- Scan, categorize, and electronically file documents, ensuring data integrity and security.
- Maintain accurate and up-to-date records of all filed documents, both physically and digitally.
- Perform regular audits to ensure compliance with company policies and regulatory requirements.
- Collaborate with the operations team to develop and refine filing procedures and guidelines.
- Provide training and support to team members on filing systems and procedures as needed.
- Ensure all filed documents are secure, confidential, and in compliance with data protection policies.
- Develop and manage databases to track and store electronic documents.
- Coordinate with the IT department to troubleshoot any technical issues related to filing systems.
- Participate in the continuous improvement of filing processes and contribute to the development of best practices.
- Manage and maintain the physical filing room, ensuring it remains organized and secure.
- Prepare and distribute reports as required, ensuring accurate and timely delivery of information.
- Stay updated with changes in regulatory requirements and adjust filing systems accordingly.
Requirements
- 2+ years of experience in data management, filing, or a related field.
- Proven ability to develop and maintain complex filing systems, both physical and digital.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office, particularly Excel, Word, and Access.
- Experience with data entry software and databases.
- Strong analytical and problem-solving skills, with attention to detail.
- Ability to work independently and collaboratively as part of a team.
- Excellent communication and interpersonal skills.
- High level of integrity and discretion when handling confidential documents.
- Certification in data management or a related field is an asset.
