Key Responsibilities

  • Develop and maintain effective filing systems for digital documents and files
  • Ensure compliance with company policies and procedures for document management
  • Provide administrative support to staff, including assistance with filing, scanning, and document retrieval
  • Collaborate with the operations team to implement process improvements and increase efficiency
  • Conduct regular audits to ensure accuracy and integrity of digital files and documents
  • Develop and maintain spreadsheets and databases to track and manage digital documents
  • Provide training and support to staff on document management best practices
  • Ensure confidentiality and security of sensitive documents and files
  • Develop and implement effective backup and recovery procedures for digital documents
  • Participate in team meetings and contribute to the development of departmental goals and objectives
  • Provide exceptional customer service to internal and external stakeholders
  • Stay up-to-date with industry trends and best practices in document management
  • Participate in continuous improvement initiatives to improve document management processes
  • Collaborate with other departments to develop and implement company-wide document management policies and procedures

Requirements

  • 2+ years of experience in document management or a related field
  • High school diploma or equivalent required; degree in business administration or related field preferred
  • Excellent organizational and time management skills, with ability to prioritize tasks and meet deadlines
  • Proficient in Microsoft Office, including Excel, Word, and Outlook
  • Experience with document management software and systems, such as SharePoint or Documentum
  • Strong attention to detail, with ability to maintain accuracy and integrity of digital files and documents
  • Excellent communication and interpersonal skills, with ability to work effectively with staff and stakeholders
  • Ability to work in a fast-paced environment, with flexibility to adapt to changing priorities and deadlines
  • Strong problem-solving and analytical skills, with ability to troubleshoot issues and develop creative solutions
  • Experience with data entry and data management, with ability to maintain accurate and up-to-date records
  • Certification in document management or a related field, such as CDIA+ or CDMS, an asset
