Key Responsibilities

  • Provide administrative support to the team, including data entry, record-keeping, and filing
  • Answer and direct phone calls, respond to emails, and greet clients and visitors
  • Prepare and distribute meeting materials, agendas, and minutes
  • Coordinate travel arrangements, schedule appointments, and manage calendars
  • Maintain accurate and up-to-date records and databases
  • Provide customer service and respond to client inquiries
  • Assist with special projects and tasks as required
  • Develop and implement effective filing systems, both physical and digital
  • Maintain confidentiality and handle sensitive information with discretion
  • Collaborate with team members to achieve common goals and objectives
  • Develop and maintain relationships with clients, vendors, and other stakeholders
  • Stay up-to-date with industry developments and best practices in administration
  • Participate in training and professional development opportunities to enhance skills and knowledge

Requirements

  • High school diploma or equivalent required, post-secondary education in business or administration an asset
  • 2-3 years of experience in an administrative role, preferably in a business or consulting environment
  • Excellent communication and interpersonal skills, both written and verbal
  • Proficient in Microsoft Office, including Word, Excel, and Outlook
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects
  • Ability to work well under pressure and meet deadlines
  • Flexible and adaptable, with a willingness to learn and take on new challenges
  • Strong attention to detail and ability to maintain accuracy and confidentiality
  • Customer service skills and experience, with the ability to respond to client inquiries and resolve issues
  • Ability to work independently and as part of a team
  • Proficient in data entry and record-keeping, with experience in maintaining accurate and up-to-date records
